About Facilities Management Team:
Our team centralises the agency’s facilities management for various centres. We are looking for candidates who are strong in stakeholder management and detail oriented. Candidates must be good stewards of Fei Yue resources and can provide solutions that best fit Fei Yue.
Responsibilities:
Stakeholder Management
- Liaise and work with internal (FY staff) and external vendors with regards to managing existing service contracts and procure to payment, drive annual vendor evaluation exercise for contract renewal (i.e. electricity, air-con, pest control, cleaning and disinfection).
- Ensure Centre Admin List & Workplace Safety & Health (WSH) I/C List is updated and work with WSH I/Cs and Centre Administrators to foster a strong and positive relationships
Administrative
- Manage corporate mobile phones / phone lines issued (both Teams Connector, land lines and SIM lines).
- Manage Fei Yue registered vehicle including maintaining vehicle list, insurance renewal and road tax renewal.
- Manage EMA license renewal.
- Maintain Approved Vendor List and other Procurement templates.
- Manage Good to Use portal.
- Administrative support and minute-taking for FM team.
- Maintain all FM documents and shared folders.
Others
- Ad hoc admin and dispatch duties
Requirements:
- Minimum Diploma Holder of any discipline.
- Preferred some years of facilities management and project management experience, but not mandatory.
- Administrative experience is preferred
- Understand the importance of stewardship.
- Able to meet project deadlines.
- Able to work independently to resolve administrative issues for FM team.
- Possess driver’s license is preferred
