The job scope includes:
Meetings, Scheduling & Appointments
· Manage and maintain schedules, including arranging appointments, meetings, and travel itineraries for doctors
· Coordinate and organize meetings, trainings, conferences, and events, including venue reservations, catering, material preparation, invoicing, and payments
· Take notes at meetings if necessary and follow up on action items
· Assist in the preparation of reports, presentations for meetings
· Maintain personal and office filing and organization systems, both physical and digital
Clinical Studies, Trainings, Case presentations
· Coordinate and organize clinical studies, trainings and case presentations for doctors, including:
o patient recruitment
o data compilation
o patient follow up
o invoicing, payments
Clinic Administrative Work
· Ensure accuracy and suitability of clinic schedule and patient appointments
· Collaborate with other administrative staff to ensure smooth operations in clinic
· Organise doctor’s patient flow, making sure patients are seen on time and well taken care of
· Answer and direct phone calls, take messages, and handle inquiries appropriately
· Uphold a strict level of confidentiality and professionalism in all interactions
· Provide general administrative support as needed
Social Media, Email, Website
· Manage and maintain doctor's social media accounts (Facebook, IG, Tiktok )
· Put up articles on website
· Handle incoming and outgoing mails, electronic and physical, and deliveries
