The Team
You will be part of the Technology (Systems) team — the team that keeps things grounded and are the guardians of the should-dos, to-dos, and no-gos in a system. With a 360-degree point of view, we drill down to the details to build the team required and articulate how interactions should be facilitated.
Workflows are our jam and our secret sauce to bring every player in the system together. We partner internal team members, clients and external vendors from system takeover to handover.
The Systems team was formed to diversify Section’s unprecedented portfolio of system maintenance projects. The Producers will need to maintain a positive and resilient attitude in managing a world of unknowns, solve problems by breaking down complex issues into smaller tasks, while balancing client requests and system potentials.
The Role
As a successful Team lead within the Agency, you will uphold a collaborative mindset with a top priority in problem-solving with strategies that can help advance towards the overall organization goal; while as a successful Producer lead for the Systems team, you will strike a constant balancing act between
- empowering and navigating for the team of producers and allocated engineers to attain adequate resources and methodologies to run the respective streams of work independently
- (as a result,) gather the insightful learnings and data that can encourage informed decision making for team progression, cross-functional team synergy, and an optimized portfolio of services for new Business Development conversations and pitches
The Responsibilities
Managerial reporting
- Quarterly revenue tracking and reporting
- Ongoing resource tracking and reporting
- Recurring catch-ups with the management team to discuss incoming scopes, uncover business opportunities, and problem statements devised from escalations and observations
Team management
- Project team planning including arrangement for after-hours standby manpower or backup manpower to address leave schedule of personnels
- Personnel management: Leave approvals, host recurring catch-ups and team standups
- Budget management: Cost estimation reviews and approvals
Scope management: Listen to the requirements and pain points of clients to achieve an ideal and well-crafted Statement of Work document meant for contractual acceptance and sign-off - Deployment after-hours: Ensure team is equipped with support to perform deployments that can go beyond midnight before logging off
Cross-functional team collaboration
- Representative of Systems team to pitch for new business opportunities
- Primarily build rapport with Technology Leads and Project Leads from the Experience and Implementation teams for system handover-takeover and resource allocation optimization within the Agency
- Value-add: Formulate new initiatives that can introduce overall improvements to operational processes across teams
- Occasional collaboration and consultation with/for other teams that require the expertise of Systems team
Client management
- Escalation point for clients for severe business risks that cannot be overcome by existing working team
- Upkeep relationship and and encourage continuous feedback to uncover business and system optimization opportunities
The Requirements
- Some year(s) of experience in leading a team that requires continuous accumulation of system knowledge and monitoring efforts. Some examples: Websites, mobile applications, Admin portals, Customer relationship management systems and more
- Technology Stack type: Cloud service providers, Database management systems, Content management systems, integration with Software as a service (SaaS) tools
- Fluency in designing artifacts using tools such as FigJam that can function as visual aids for kickoff-meetings, walkthroughs, retrospective sessions and stakeholder decision-making
- Familiarity with MoSCoW prioritization technique
- Good grasp of the concept on decision modeling
- Have a general concept of data-driven decision making to help formulate methodologies that should be practiced by the working maintenance team which you will assemble
- Experience with project management software tools such as Asana, Jira and Google Suite, including the architecture of a project board from scratch
- Experience with communication software tools such as Slack, GChat, Zoom and Microsoft Teams including the configuration for integration of bot workflows from third party applications
- General understanding for
- technical architecture diagrams and a typical breakdown of a technology stack including DevOps technology and processes
- digital creative design processes in an application development pipeline
- Agile and Waterfall project management frameworks
- Commitment to define and optimize continuous improvement practices that should be applied on but not limited to - systems, the team, collaboration with cross-functional teams, and sales pitch level
