O'Melveny & Myers LLP has an immediate opening for a Legal Secretary in our Singapore office. This position is responsible for providing administrative and legal secretarial support to attorneys within the office.
Essential Duties and Responsibilities
Typical responsibilities include, but are not limited to, the following areas:
Assistant to attorneys:
- Create, revise and print correspondence, memoranda, engagement letters, fee proposals and other legal documents;
- Open new matters and coordinate with the conflicts team to ensure compliance with internal procedures;
- Responsible for client bills, payment tracking, and collections;
- Maintain partner/attorney’s calendar and contacts;
- Format documents (Word, Excel & PPT), draft fax & memos;
- Review and file documents, emails, bills and other correspondence;
- Conduct legal research on the internet;
- Organize internal and client meetings;
- Make appointments and travel arrangements and visas for attorneys;
- Input attorney timesheets;
- Submit expense reimbursement requests for attorneys.
Administrative Work:
- Answer and screen phone calls, take messages, greet/receive visitors, etc.;
- Other tasks as assigned by partners/attorneys and the Office Manager;
- Fill printers and copiers with paper on daily basis and throughout the day, as necessary;
- Flexibility to assist with reception duties.
Knowledge, Skills and Experience
- Bachelor degree or above;
- Minimum of 2-3 years working experience, particularly in international law firm is preferred;
- Fluent in English and Chinese, both written and oral;
- A team player, self-motivated, well organized and able to work under pressure;
- Skilled in Office, especially Word;
- Excellent communication and interpersonal skills, an acute attention to detail, and the ability to work individually, as well as part of a team.
