A] Overall Counter Operations
a) Ensure opening/closing of counter area doors and manning of the counter service during operation hours.
b) Oversee the cleanliness and smooth operations of the counter service and systems and liaise with cleaning or IT supervisor and/or Estates Department on any cleanliness or breakdown matters.
[B] Customer Service and Handling Enquiries
d) To handle general enquiries from the students, staff and the public and ensure all phone or walk-in enquiries are attended to within our service guidelines.
[C] General Counter Reception/Support Duties
e) Perform receipt of goods and ensure items are delivered or stored in the correct locations. This includes verification of quantity in the delivery order against physical goods delivered.
f) Assist in administrative support of
· all Sports related programmes: like collection/issuance of forms, T-shirts, certificates, goodie bags, prizes, creation and collation of registration list/e-indemnity submissions/attendance sheets in the required Systems
· data entry (average 2,000 records/year)
· collation of Programmes Survey Results and other data entry works relating to our Programmes
· Activity club’s posters endorsements
g) Assist in the issuance of keys or access cards to students, staff or vendors for facilities under purview.
h) Receiving/escorting of guests for meetings, assisting in room setup and logistics preparation for meetings.
i) Assist to book facilities through Facility Booking platforms.
[D] Safety-related Activity (First Aid)
j) To dispense first aid bags/items to clubs for replenishment and manage first aid supplies during competitions.
k) To participate in the department’s table-top and scenario-based exercises such as fire drills as well as in event of fire emergency.
[E] Other Admin Support
l) To contact and liaise with vendors/Estates for ad-hoc repair and scheduling of maintenance/servicing of office and safety equipment.
m) To assist in the delivery of related event items within and outside the organisation, including letter-shopping and preparation of mail-outs.
Any other general admin support tasks assigned by the Team Lead.
Mondays to Fridays from 8.00am to 5.30pm

Requirements:
- Familiarity with administrative tasks and data entry processes.
- Strong organizational skills to manage multiple tasks such as counter operations, enquiries, and event support.
- Excellent communication and interpersonal skills for handling students, staff, and public enquiries.
- Ability to handle first aid supplies and respond to safety-related activities, including participation in drills.
- Attention to detail for item verification and data entry tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, etc.) for data entry and report collation.
- Minimum GCE O level
- Minimum 1 year experience in customer service or counter operations.
- Possess a valid First Aid Certification.
