Responsibilities:
On-Boarding / Off Boarding Management
- Work Pass/VISA application & cancellation for Australia, Hong Kong and Singapore
- Conducts background screening
- Assist in mobility and relocation
- Induction and Buddy program
- Insurance management
- Update various internal spreadsheets to keep track of newcomers/exits
- Work with internal stakeholders to effectively onboard/offboard employees
- Update of our HR Information System tools (SAP, SuccessFactors, Shiva)
Payroll Preparation/Supervision
- Working with 3rd parties in Australia, Hong Kong and Singapore
- Working closely with HR local support in Australia, Hong Kong and Singapore
- Work with Finance team on reimbursements, invoicing and providing required payroll reports
Supervise the Leave Management
- Follow up monthly leave balances, check for unpaid leaves/excess leaves taken
- Update leave counter on our internal tool
- Prepare leave analytics report for APJ monthly report
- Liaison with Managers
Training
- Prepare the annual training plan and annual training assessment for the region with support of the HR executives and managers in APJ and France.
- Allocate training codes
- Staff training administration
- Prepare claims for training subsidies (Grants, PCP,etc)
Participation of HR Policy
- Update Employee handbooks for Australia, Hong Kong and Singapore
- Partner with HR local for Malaysia/China/Indonesia/India/Philippines if required
- Triage employee queries accordingly
Career path Management
- Monitoring probation reviews
- Annual and mid annual appraisal monitoring
- Job mapping updates
- Job descriptions updates
- Work with HR team in France to maintain integrity of the entire process
Support Increment Campaign
- Preparation salary adjustment/Promotion/Re-Designation letters
- Update our HR Management System (SuccessFactors)
Others
- Participation to the HR/Internal communication (Quarterly newsletter, company events,..)
- HR letters generation (Letter of Appointment, Addendum, Training Bond, etc)
- Filling and other HR related administrative works
- Arrange for teambuilding activities
- Assist in Singapore, Hong Kong and Australia Labour Surveys
- Assist to provide HR/Admin contents in intranet
Your Profile:
- Working experience for Australia, Hong Kong and Singapore preferably with some exposure in other APJ countries
- Minimum Bachelor Degree in Human Resource and/or Law
- Masters Degree in Human Resource Manager and/or Law preferred
- Minimum 10 years of experience in relevant industry and work and preferred in French organisation
- Strong payroll and HR Administrative knowledge
- Strong Labour law experience for Australia, Hong Kong and Singapore
- French Language is must to be able to co-ordinate with French Team back in head office for different stakeholders
- Experience with Microsoft software products like Outlook, Office, etc
- Cheerful personality with good interpersonal skills and versatile
- Strong interpersonal, written and verbal communication skills
- Team player, with good planning ability and is meticulous with details
- Ability to work independently as well as with internal and external teams and adapt quickly in a fast-paced environment
- Open minded and ready to learn and fast learner
- Possess initiatives
