Job Responsibilities
1. Provide administrative support
- Coordinate meetings/appointments - liaise with external parties and prepare meeting documents in advance.
- Manage mailing list - send invitations and coordinate RSVPs.
- Maintain office operations, e.g. mail, supplies, equipment and facilities.
2. Support Board Secretariat - SBFF and MigrantWell
- Support board/sub-committees meetings, including scheduling, venue preparation and other logistical tasks.
- Compile meeting agenda and materials in advance.
- Initiate paperwork for appointments, renewals, cessations of directors and related board matters, as assigned.
3. Record Keeping
- Collect and record data and maintain data integrity, specifically SBFF:Registry
Customer Relationship Management
Measurement & Evaluation
4. Assist with Donor Management
- Maintain donor records in DMS Lite
- Issue TY notes and tax-deductible receipts
- Handle regulatory submissions including donation record submission & updates to the charity portal
5. Additional administrative duties as the need arises.
Job Requirements:
- Diploma or equivalent with 2 years of work experience
- Strong organisational, communication, problem-solving, and multitasking skills, as well as the ability to work effectively both independently and as part of a team.
- Proficient in MS office & Excel
