We are looking for an Administrative Assistant.
Job Responsibilities:
- Provide administrative support to directors and internal office staff.
- Manage office upkeep, including the reception area, meeting rooms, pantry, and replenish stationery supplies.
- Assist with front desk duties.
- Handle phone and email inquiries.
- Maintain and update the company's mailing list, internal phone directories, and other administrative databases.
- Organize and manage the filing system for documents.
- Administer travel insurance, including processing claims and renewals.
- Coordinate management's schedules and appointments with office vendors, suppliers, or contractors.
- Arrange flight, hotel, and dining reservations.
- Assist with visa applications for business trips.
- Prepare company gifts and manage the company's Do Not Disturb (DND) list and research.
- Ensure a pleasant office environment and provide refreshments to guests.
- Handle sensitive information with utmost confidentiality.
- Perform other tasks as needed.
Requirements:
- Experience: 2-3 years in an administrative role.
- Education: Tertiary qualification in any field.
- Strong communication skills, both written and verbal, along with analytical, administrative, and interpersonal abilities.
- Proficiency in IT, with a good understanding of Microsoft Office and Outlook.
- Excellent time management skills.
- Ability to thrive in a fast-paced environment.
- Detail-oriented and well-organized.
