Job Description

To serve as the Executive for the Office of Residency Training under Department of Pharmacy.


The incumbent will provide support to the Office of Residency Training (ORT) in the Department of Pharmacy & Pharmaceutical Sciences, Faculty of Science.


The duties and responsibilities include but are not limited to the following -

  • To provide clerical, secretarial and administrative support to the Manager and the Academic Advisor, where necessary.
  • Scheduling and coordinating meetings for the residency committees’ meetings.
  • To assist with the preparation and sending out of circulars and announcements to relevant stakeholders on posting schedules, teaching schedules, interviews, etc.
  • To assist with the preparation and arrangement of the rotation and evaluation schedules for the various residency programmes.
  • To assist with the setting up, tracking and monitoring of the evaluations, assessments and leave of the residents. This includes data entry to update the residency learning management software.
  • To collate and follow up on evaluations and other required returns from residents on the residency matters.
  • To distribute, collate and tabulate the residents' evaluations and other feedback/assessments in a report format.
  • To maintain and update database of residents, preceptors and committee members.
  • To reserve seminar/meeting rooms/other suitable venues for interviews, training and teaching purposes.
  • To arrange with in-house/external caterers for tea refreshments if necessary.
  • To assist in the preparation, tracking and monitoring of the expenditure and the funding for the Residency Programme Director, Associate Programme Directors, residents and preceptors.
  • To provide administrative support on the logistic arrangement for tests, assessments, evaluation and examinations for the various residency programmes.
  • To assist in the organisation and logistics of Residency related events (e.g., Welcome Tea, Orientation, Graduation, etc), other projects or assignments.

Qualifications

  • Degree holder
  • Preferably two years of working experience (preferably in the medical/education industry). Those with no experience may apply.
  • High level of proficiency in Microsoft Office (Word, Excel, Powerpoint, Outlook, etc) and Zoom web conferencing applications
  • Working knowledge and skills in design software (e.g. Adobe Photoshop) is an advantage.
  • Meticulous, strong coordination skills with an eye for detail
  • Able to multi-task and work under pressure
  • A strong team player who is able to work independently with minimal supervision
