Property Manager

The Property Manager is responsible for the effective management and oversight of all properties (residential, commercial and industrial) within the real estate development portfolio. This role will direct and lead the building management and engineering services of the company to ensure that properties are well-maintained, occupancy rates are maximized, and tenants are satisfied. The Property Manager works closely with leasing and managing agents, maintenance staff, and other stakeholders to achieve financial and operational goals


Property Management:

1.Tenant Relations: Oversee FM / MA teams to address tenant inquiries, complaints, and emergencies promptly and professionally. Ensure tenant satisfaction by addressing issues and concerns effectively.

2.Leasing & Occupancy: Oversee leasing processes, including marketing vacancies, screening potential tenants, and executing lease agreements. Aim to achieve and maintain high occupancy rates.

3.Maintenance & Repairs: Direct, coordinate and oversee routine maintenance, repairs, and property improvements. Ensure that all work is performed according to company standards and within budget. Schedule and supervise maintenance staff or external contractors. Responsible for lease covenant compliance, propose and Manage Tenant Retention Program, Administer and manage Tenant Fitout Works.

4.Property Inspections: Conduct regular property inspections to ensure compliance with safety standards, lease agreements, and property conditions. Address any issues identified during inspections.


Financial Management:

1.Budgeting: Prepare and manage annual property budgets (Capex and Opex). Monitor and control operational expenses to ensure alignment with the budget. Carry out Life Cycle Analysis with key term contactors.

2.Rent Collection: Ensure timely rent collection and enforce lease terms for non-payment. Manage rent rolls and prepare financial reports.

3.Expense Management: Review and approve invoices, manage vendor relationships, and negotiate contracts to optimize cost efficiency. Follow approved procurement protocol and obtain necessary sign-off based on agreed delegation of authority.


Compliance & Legal:

1.Lease Administration: Ensure leases are accurately maintained and updated, including renewals and amendments. Ensure compliance with prevailing regulations.

2.Risk Management: Identify potential risks and implement strategies to mitigate them. Ensure properties are adequately insured.


Reporting & Documentation:

1.Reporting: Prepare monthly / ad hoc reports on property performance, including occupancy rates, financial status, maintenance activities, and tenant satisfaction. Present reports to management.

2.Documentation: Ensure that each property maintains accurate and up-to-date records of all property management activities, tenant interactions, and financial transactions.


Team Management:

1.Staff Supervision: Manage and supervise on-site staff, including managing agents, leasing agents, maintenance vendors, and direct staff. Plan training programme, provide guidance, and carry out performance evaluations.

2.Collaboration: Work closely with the development / project team, asset managers, and other departments to ensure alignment on property management strategies and goals.


Qualifications:

Education: Bachelor’s degree in real estate, business administration, or a related engineering field. A master’s degree is a plus.

Experience: 8-10 years of experience in property management, preferably in a real estate development environment with 5 years as a portfolio lead. Experience with both Industrial and commercial properties is beneficial.


Certifications:

Professional certifications such as Certified Property and Facility Manager (CPFM), GM Accredited Professional (Facilities Management) or similar are highly desirable.


Skills:

Strong communication and interpersonal skills.

Excellent organizational and time-management abilities.

Proficient in property management software and Microsoft Office Suite.

Strong financial acumen with the ability to manage budgets and financial reports.

Knowledge of local property laws, regulations, and building codes.

Keen to explore new and spearhead new and innovative ideas in existing / new developments
