Administrative Assistant (Near Great World MRT)

Job Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to the office by answering calls, managing data in Excel sheets, tracking tasks, and performing a variety of other administrative duties. The role requires excellent communication skills, proficiency with office software, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  • Answering Calls: Professionally handle inbound calls, redirect them to the appropriate person, or take messages as required.
  • Excel Management: Maintain, update, and create Excel spreadsheets for various purposes such as data entry, reports, and tracking.
  • Tracking and Reporting: Keep track of office supplies, appointments, and important deadlines, providing regular updates to management.
  • Email and Correspondence: Respond to emails, manage incoming and outgoing mail, and ensure timely communication within the office.
  • Filing and Documentation: Organize and maintain electronic and paper files, ensuring proper documentation is up to date and accessible.
  • Scheduling: Assist in scheduling meetings and appointments.
  • Data Entry: Input and manage data with accuracy in relevant systems.
  • Support Team: Provide general administrative support to other team members as needed, including photocopying, scanning, and other tasks.
  • Customer Service: Act as a point of contact for clients, providing information or assistance when necessary.

Key Skills & Requirements:

  • Proven experience in an administrative role or similar position.
  • Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook).
  • Excellent verbal and written communication skills. (English Needed. Mandarin ideal)
  • Strong organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Problem-solving skills and the ability to handle sensitive and confidential information.
  • Knowledge of basic office equipment (e.g., fax machines, printers, scanners).

Preferred Qualifications:

  • Experience with project tracking or database systems.
  • Previous customer service experience is a plus.

Working Conditions:

  • Office environment with typical office hours. (5.5 days)

Location:

  • Conveniently located 5 mins from Great World MRT station.
