ESSENTIAL DUTIES AND RESPONSIBILITIES

As the Office Administrator cum PA, you'll provide comprehensive administrative support, ensuring a smooth workflow for everyone. This includes warmly greeting visitors and staff, managing the front desk with organization, and managing a variety of administrative tasks accurately. As a key point of contact, you'll possess excellent communication and interpersonal skills to handle inquiries from both internal and external sources.

Key Responsibilities:

· Schedule meetings, answering phone calls, email reply, take messages and Manage calendars for Chairman and President.

· Take accurate and comprehensive notes for all meetings.

· Serve as the first point of contact for visitors, greeting them professionally and directing them to the appropriate personnel or location

· Run errands as requested (if any).

· Plan for business trips, including flights, accommodation and ground transportation

· Coordinate events and speaking engagements.

· Organizing and maintaining both physical and electronic files, documents, and records

· Maintaining strict confidentiality regarding sensitive information, both within and outside the organization

· Extensive secretarial/administrative support including but not limited to calendar management, scheduling meetings for various departments (if needed).

· In charge of Chairman's social media content and CULINES social media accounts.

· Provide extensive secretarial support, and manage various administrative tasks, including but not limited to: Team building activities, Business travel arrangements, Company quarterly and annual events, arrangement of venues for various meetings, ensuring efficient use of CULINES meeting rooms, submission of claims for President’s Business & other expenses to CULINES system and electronic equipment issuance and returns etc.

· Submit expenses claim and ensure everything is in order.

  • Assist and manage any other ad-hoc duties assigned from time to time.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

· Bachelor's Degree in Business Administration, or related field equivalent with 4 years working experience.

· Photography, Videography and Editing skills.

· Active listening and good communication skills.

· Expertise in time management, and the ability to adapt to change under pressure.

· Excellent communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and visitors.

· Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.

· Ability to work independently and take initiative.

· Effectively bilingual in both English and Mandarin (as the position needs to frequently communicate with English/Chinese speaking associates verbally/ in writing whenever appropriate.

· Possesses a valid right to work in Singapore.
