ABOUT THE ROLE
You will support the Programmes and Services Department in various administrative, logistical and partnership work at EQUAL as a Programmes & Services Executive.
You are to coordinate and to network with various stakeholders to brokerage for partnerships and collaborations for various programmes at EQUAL. You are to work closely with the both the Head of Department and Equine Programme Manager to prepare and customise proposal papers and quotations, besides liaising closely with clients/ institutions for submission of the tender documentations.
It is your responsibility to coordinate and schedule various administrative and billing arrangements for the Programmes & Services department. You are to prepare notice of meetings and agendas for department meetings, and to coordinate with the Animal Welfare team members for programme needs and scheduling. You are required to schedule meetings for key personnels in the department and coordinating with Human Resource Department on training matters for the team members.
You will be responsible for documentation matters, to upload relevant documents and compile data onto shared drive, ensure accuracy of records of programmes data, and extract relevant data for audit and reporting purposes. It is required for this role to periodically clean-up the hard and soft copies of the documents in a systematic manner.
This role will be tasked to design simple artwork for worksheets, brochures, and publicity posters required for the programmes. In terms of logistic arrangement, it is required for this role to liaise with vendors to procure materials/ resources for programme needs (i.e. Printing of journals & stickers, etc), and set up room facility for programme use.
This role may require to work on weekends and public holidays if there are programmes or events. You will report to the Head of Programmes & Services, and work closely with the Programmes & Services team members. You are to support other ad-hoc activities or projects and to assist in other activities/ works as instructed by your Reporting Officer.
ROLE REQUIREMENTS
Preferred Experience
- Diploma or Degree in business administration, or marketing will be an advantage.
- Fresh graduates are welcomed.
- Communication skills.
- Computer proficiency.
