Admin & Facilities Executive - Temporary Contract / 3 days work week

The Admin & Facilities Executive shall handle the office renovation and reinstatement works and ensure the day-to-day smooth operation of a building infrastructure, through administrative support, including procurement, negotiation, contractor liaison and documentation as well as coordination of staff and office equipment during relocation.

  • To prepare the costing and proposal of the renovation & reinstatement for the office.
  • To manage the contractors for major and minor works during the renovation & reinstatement.
  • Collaborate with the stakeholders during the renovation and reinstatement to ensure smooth operations.
  • Handle all the pantry procurement and gifts for employees.
  • Planning of company events and preparation of monthly employee birthday vouchers.
  • Manage the cleaning hygiene vendor and monitor the services provided.
  • Provide administrative support to the event planning and management team.
  • Office maintenance, including courier service and office assets tracking.
  • Managing corporate calls, opening, sorting and distributing incoming correspondence, mails included
  • Responsible for office administration such as printing staff name cards, staff passes, door access cards and general administrative support for staff onboarding and offboarding request.
  • Manage Admin / Facilities helpdesk via workday.

Requirements:

  • Must have experience in renovation & reinstatement of the office.
  • At least 2 years of relevant experience in a similar role, administration or facility.
  • Meticulous and well-organized to ensure administrative accuracy.
  • Good team player with a positive and can-do attitude.
  • Good interpersonal & communication skills.
  • Self-driven, able to multitask with a good time management.
