1. Administrative Duties & Facility Management
- Oversee the organization and maintenance of office supplies, equipment, and facilities.
- Manage and organize office documentation, including files, records, and correspondence.
- Ensure the office environment is clean, safe, and well-maintained.
- Liaise with service providers and vendors for office supplies, repairs, and maintenance.
2. Finance & Human Resources Support
- Assist in managing office budgets, tracking expenses, and ensuring cost efficiency.
- Oversee the recruitment process, including job postings, interviewing, hiring and work pass application and renewal.
- Manage the onboarding process for new employees to ensure a smooth transition, setting up workstations and preparing necessary documentation.
- Maintain employee records and manage HR-related paperwork.
- Support staff management, including scheduling, time tracking, and handling HR issues.
- Manage Employee Medical Benefits, Travel Insurance, Office Insurance and etc.
3. Operational Efficiency, Compliance & Safety
- Identify and implement improvements to office processes and workflows.
- Oversee the use and maintenance of office technology, including computers, printers, and other equipment.
- Address and resolve any operational issues that arise in the office environment.
- Ensure that the office complies with relevant regulations and policies.
- Implement and enforce health and safety protocols to ensure a safe working environment
Requirements:
- Bachelor's degree or equivalent.
- Prior knowledge and experience of human resources will be an advantage.
- Fluency in spoken and written English and Mandarin, daily interactions with Chinese counterparts.
- Demonstrate ability to prioritize, and good time management skills.
