Job Description

  • Supervision and management of the staff in the admin office in their respective functions, namely HR, Finance, Communications & Partnership and General Office admin matters.
  • Ensure compliance to MSF and MWS SOPs and Guidelines, and follow-up on relevant points highlighted during their inspections and audits.
  • Take care of the welfare of all staff in the Home
  • Facilitate the onboarding of new staff.
  • Management of house rules for stay-in staff and handling of staff disciplinary cases.
  • Oversee the organization of activities for staff welfare e.g. staff birthday celebration, staff team building/bonding activities etc.
  • Handling of staff grievances, complaints and incidents, e.g. harassment, abuse, threat, etc.
  • Prepare the consolidated annual budget for the Home and oversee the budget utilization.
  • Handle audit and inspection by internal and external auditors.
  • Ensure sound governance of donation and the compliance to proper procurement procedures.
  • Management of petty cash, safe authorization and access.
  • Ensure proper safekeeping of residents’ monies, properties and files kept in the Admin office.
  • Oversee banking arrangements for the residents.
  • Oversee the timely replenishment of office supplies, stationery, staff uniform, etc.
  • Be familiar with the provisions of the Destitute Persons Act and the Destitute Person (Welfare Home) Rules, and MSF SOPs and Minimum Financial Standards.
  • Facilitate monthly Staff & Operations meeting, in partnership with the Welfare & Operations department.
  • Assist the Head Of Centre in the compilation and submission of monthly reports to MSF, quarterly reports to the Central Governance Committee (CGC).
  • Facilitate the application for Government portals.
  • Submit suitability assessment of staff, vendors and volunteers to MSF for clearance.
  • Oversee the Communications & Partnership department which takes care of volunteer and donation management, communications and residents’ engagement.

Job Requirements

  • Bachelor Degree
  • Independent and able to lead a team
