Job Description
- Supervision and management of the staff in the admin office in their respective functions, namely HR, Finance, Communications & Partnership and General Office admin matters.
- Ensure compliance to MSF and MWS SOPs and Guidelines, and follow-up on relevant points highlighted during their inspections and audits.
- Take care of the welfare of all staff in the Home
- Facilitate the onboarding of new staff.
- Management of house rules for stay-in staff and handling of staff disciplinary cases.
- Oversee the organization of activities for staff welfare e.g. staff birthday celebration, staff team building/bonding activities etc.
- Handling of staff grievances, complaints and incidents, e.g. harassment, abuse, threat, etc.
- Prepare the consolidated annual budget for the Home and oversee the budget utilization.
- Handle audit and inspection by internal and external auditors.
- Ensure sound governance of donation and the compliance to proper procurement procedures.
- Management of petty cash, safe authorization and access.
- Ensure proper safekeeping of residents’ monies, properties and files kept in the Admin office.
- Oversee banking arrangements for the residents.
- Oversee the timely replenishment of office supplies, stationery, staff uniform, etc.
- Be familiar with the provisions of the Destitute Persons Act and the Destitute Person (Welfare Home) Rules, and MSF SOPs and Minimum Financial Standards.
- Facilitate monthly Staff & Operations meeting, in partnership with the Welfare & Operations department.
- Assist the Head Of Centre in the compilation and submission of monthly reports to MSF, quarterly reports to the Central Governance Committee (CGC).
- Facilitate the application for Government portals.
- Submit suitability assessment of staff, vendors and volunteers to MSF for clearance.
- Oversee the Communications & Partnership department which takes care of volunteer and donation management, communications and residents’ engagement.
