ROLES AND RESPONSIBILITIES:-
Administrative Support:
-Overlook the entire administration department for general matters and issues that arise
-Provide comprehensive administrative support such as office stock replenishment, handling daily mails from government authorities and private sectors
-Ability to draft and proof read emails at short notices (Advanced English of Command is preferred)
-Act as first point of contact for all incoming inquiries via emails and phone calls
-Prepare and amend relevant documents as and when required (Purchase Request, Purchase Order and Quotation)
-Filing and record all documents based on company SOP and policy regulations
-Coordinate and organize meetings for director with customers
-Plan, organize and implement events activity according to festivities
-In charge of machinery and vehicle management eg: road tax, insurance etc
-Equipped with basic legal knowledge to liaise with lawyer for legal matter
-Handle the logistics counterpart of delivery to customers
-Possess intermediate IT knowledge to set up user and assist colleagues with IT issues
-Other Ad-Hoc duties assigned by superiors
Accountant Support:
-Oversee accounts payable and receivable, ensure timely and accurate processing of invoices and payments
-Reconcile bank statements and resolve any discrepancies
-Implement and monitor internal controls to safeguard company assets and ensure financial accuracy
-Prepare for and coordinate with external auditors during audits, ensuring compliance with regulatory requirements
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field preferred
- Proven experience as an executive assistant or in a similar administrative role
- Exceptional organizational and multitasking skills
- Proficiency in MS Office Suite (Word, Excel VBA, PowerPoint) and office management software
- Strong communication skills, both verbal and written.
- Excellent problem-solving abilities and attention to details due to high urgency nature of work
- Professional demeanor and ability to interact effectively with senior management and other stakeholders
Work Environment:
- This position is typically office-based with standard working hours.
- Occasional overtime depending on the needs of the company
- Mandatory to wear safety boots when entering workshop
