Reports To: Director
Job Summary:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to the company's Director. The ideal candidate will have experience in managing administrative tasks, coordinating marketing and CRM teams, and handling ad hoc projects. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple priorities efficiently.
Key Responsibilities:
Executive Support:
- Serve as the primary point of contact for the MD, managing their calendar, scheduling meetings, and handling correspondence.
- Prepare and edit reports, presentations, and other documents as needed.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation.
- Manage and organize the MD's office, ensuring it is well-maintained and operational.
Personal Assistance:
- Assist the MD with personal tasks and errands to ensure their time is optimized for business priorities.
- Handle confidential and sensitive information with discretion and professionalism.
Marketing Team Coordination:
- Liaise with the marketing team to ensure alignment with the MD’s strategic objectives.
- Assist in the planning and execution of marketing campaigns and events.
- Monitor and report on marketing project progress, ensuring deadlines are met.
CRM Team Management:
- Oversee the CRM team to ensure efficient customer relationship management processes.
- Track and analyze CRM data to provide insights and recommendations to the MD.
- Facilitate communication between the MD and CRM team, ensuring objectives are clearly understood and executed.
Ad Hoc Projects:
- Undertake special projects as assigned by the MD, ensuring timely and successful completion.
- Conduct research and compile data to support decision-making processes.
- Provide administrative support for company initiatives and events.
Qualifications:
- Bachelor's degree in Business Administration, Marketing, or a related field.
- Proven experience as an executive assistant or in a similar administrative role.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with CRM software and marketing tools is a plus.
- Ability to handle multiple tasks simultaneously and work under pressure.
- High level of integrity and professionalism in dealing with confidential information.
