Job overview:
The Order Fulfilment Executive is responsible for delivering timely customer service to ensure a seamless experience and foster strong customer relationships. This role involves organizing and processing customer orders with the production divisions, as well as coordinating shipment and logistics support to meet customer needs and demands efficiently.
Job Responsibilities
Order Processing
- Prepare and process orders for machines, parts, and accessories with the production division.
- Verify order confirmations and coordinate with the production division to ensure customer delivery timelines are met.
- Create and manage orders in ZOHO for after-sales services and service labour (one-time/contract) jobs.
- Maintain proper documentation of after-sales orders in digital dossier files (SharePoint) for future reference.
Shipment & Logistics
- Coordinate the shipment of machines, parts, and accessories, liaising with customers and partners to ensure smooth delivery.
- Prepare invoices and shipping documents such as packing lists, certificates of origin, and Air Waybills.
- Manage the organization of warranty parts, including the shipment and return of faulty parts to the production division.
- Regularly verify shipping invoices from couriers and freight forwarders for further processing.
- Collaborate with customers regarding payments, and coordinate with Accounts Receivable for debit and credit notes as applicable.
Education, Experience & Requirements
Education
- Diploma or Degree in Logistic and Supply Chain Management.
Experience
- Minimum 3-4 years’ of experience in order processing.
Requirements
- Good knowledge of shipping and logistics processes.
- Familiarity with invoices, Incoterms, and Letter of Credit (LC) verification.
- Proficient in Microsoft Office and CRM systems.
- Excellent communication and interpersonal skills.
- Proficiency in English and an additional Asian language is preferred.
