About Us: Silvester Legal LLC is a dynamic and growing law firm specialising in corporate law, share-holders disputes, and criminal law. We are committed to providing exceptional legal services to our clients and are looking for a dedicated Legal Secretary to join us. We need you to provide essential support for the firm's legal and administrative tasks. You will work very closely with our lawyers. Your responsibilities will include but not limited to:
Responsibilities:
a. Providing information-management support.
b. Reading, reviewing, verifying, and routing correspondence, reports, and legal documents.
c. Maintaining the lawyers’ calendars by planning and scheduling conferences and teleconferences; recording and monitoring court appearance dates, pleadings, and filing requirements; and anticipating changes in litigation requirements.
d. Providing secretarial and administrative support to lawyers,including preparing bundles of documents, updating various records and keying in daily time sheets.
e. Ensuring accurate maintenance of business development records such as client lists, contact details and mailing lists
f. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics to help coordinate case preparation.
g. Recording and documenting meeting discussions, and maintaining transcripts, documents, and evidence.
h. Maintaining and organising the firm’s filing and retrieval systems, as well as digital archive systems.
i. Ensuring operation of equipment by completing preventive maintenance requirements and calling for repairs.
j. Maintaining office supplies by checking stocks, placing and expediting orders, and evaluating new products
k. Providing marketing support to include preparing PowerPoint presentations, InterAction updates and event support, as necessary.
l. Familiarity with Xero and Employment Hero platforms is preferred but not mandatory.
m. Carry out other ad-hoc tasks/projects assigned.
Legal Secretary Skills and Qualifications:
- Higher Nitec, GCE ‘O’,’A’ Levels, Diploma or Degree in Corporate Secretarial Studies / Law / Business Administration or other disciplines, other recognised professional certifications.
- Proven experience as a legal secretary or in a similar role.

- Proficiency in MS Office and legal technology (e.g., court-filing systems, transcription software).
- Excellent time-management, multitasking, and communication skills.
- Familiarity with legal terminology, regulations, and court systems.
- Possess initiative and ability to thrive in a team-oriented environment.
