The company has been increasing the trade volume of crude oil and gas and is now hiring an Receptionist cum Admin Assistant (new position) due to expansion.

REQUIREMENT:

*Experience at Japanese companies a plus but not required
Applicant must be able to do the following;
-Attend office from 0900-1725 every day (no Work from home or flexible work hour arrangement applicable)
-Handle/Cover the General Office Administration related duties (stationery, pantry, reception etc) in office such as followings, but not limited to:
· Answering the intercom and attend to visitors
· Preparing meeting rooms, ensure reception area and pantry are tidy and presentable
· Answering, forwarding, and screening incoming phone calls as necessary
· Managing the visitor passes
· Registration of visitors and new colleagues into the building management system & office security system & HR attendance system
· Daily checking of mailbox, collecting, sorting and distributing incoming and outgoing mails
· Arranging outgoing document delivery (by Courier, Post Office, DHL, FEDEX etc)
· Maintain adequate inventory for Stationery, IT equipment and Pantry items, and light bulbs and take inventory of supplies and restock as needed
· Manage pantry area; maintaining it clean, functioning and well stocked at all time.
· Daily maintenance of machine & equipment in office & pantry such as Copier/printer and coffee machine and contact external vendors when malfunctioning
· Cover for Pantry lady is she’s absent; the cover duties include but not limited to:
Ø daily maintenance of coffee machine,
Ø emptying individual trash boxes and disposing trash from pantry
Ø run the dishwasher to clean used cups and return them to the drawers
Ø wiping the white boards of meeting rooms (inside and outside)
· Coordinate with Administrative Executive and support Administrative Executive by covering her absence (leave & WFH)
· Other ad hoc assignments as necessary
