Administration Associate(General Admin)

Job Description:

1.Responsible for handling routine document management tasks, including daily receipt and dispatch of documents, registration and processing of OA document circulation, and handling external fax documents.

2.Manage various administrative tasks for the department, including meeting room scheduling and booking, Jinbo Museum reservations, management of fixed assets, low-value assets, and electronic equipment issuance and return, annual inventory, office supplies requisition, and other administrative duties.

3.Participate in branch-related group work, venue setup for various branch meetings and activities, and handle administrative tasks such as reimbursement of expenses initiated by the department.

4.Assist with the management of the department's contract management system, update and review the regulations database, and update the regulations ledger.

5.Participate in key projects as assigned, including document translation.

6.Serve as the department’s compliance officer and operational risk manager, participating in various branch business continuity drills as needed.

7.Serve as a backup for the document management role (A/B role system).

8.Carry out other tasks assigned by superiors.


Job Requirements:

1.Candidates must possess a Diploma or Degree in Archival & Administration or related.

Relevant Work Experience: At least 1 year of experience in banking or administrative work

Competency: Good communication and coordination skills.

2.Ability to communicate verbally and in writing in both Chinese and English so as to understand documents written in Mandarin and effectively communicate and collaborate with Mandarin speaking colleagues from Head Office and locally.)

3.Experience in using OA system.
