Administrative assistant duties and responsibilities include providing administrative support to ensure the efficient operation of the office. Supports the engineering department in day-to-day work with a start to finish approach encompassing project creation, document administration and project billing. The role will also involve both internal and external client interactions.
Administrative assistants are responsible for confidential and time-sensitive material. Familiar with a variety of the field's concepts, practices, and procedures.
What You Will Do:
- Be part of a team of Administrators under the direction of an Engineering Coordinator.
- Helps administer incoming work through project creation and client communication.
- Responsible for assisting with the administration of client emails and submissions, whilst taking the initiative to speak to clients by phone whenever possible to streamline communication.
- Work with an in-house system and gain an understanding of internal processes required to maintain a timely workflow and educate clients in system functionality.
- Utilizes various systems for tasks such as accounts receivable tracking, billing, and record keeping.
- Ensures proper billing actions are taken and processes followed to support the Engineering Coordinator.
- Performs clerical duties such as word processing, mail distribution, filing, record keeping, and faxing.
- May assist in the planning of events and seminars.
- Supports colleagues with surplus work when required.
- This will be a one-year contract (renewable) position.
What You Will Need:
Education and Experience
- High School diploma or equivalent
- 0‒2 years of previous related experience
Knowledge, Skills, and Abilities
- Ability to identify, analyze and propose solutions to problems.
- Good command of the English language.
- Ability to communicate orally and in writing.
- Strong MS Office experience, such as word processing and spreadsheet creation
- Proficient clerical skills such as file maintenance, record keeping, and office equipment use.
- Good interpersonal, professional, and communications skills for use in person, in writing, and in telephone conversations.
- Ability to become familiar with the ABS Health, Safety, Quality, and Environmental Management System
