Responsibilities:
1. Maintain in-house project management system by keeping electronic and physical records of incoming and outgoing documents
2. Handling intake, scanning, verification, and storing documents and ensure the accuracy and compliance of the documents.
3. Support team in compiling reports, letters and drawings for submission
4. Ensure client’s requirements on submittals documentations are fulfilled
5. Design templates for documents, file types, and document databases
6. Reporting errors or developments regarding document storage.
7. Ensure the secure destruction and disposal of sensitive documents.
8. Assist in both internal and external audits.
Requirements:
1. Candidate must possess at least a Diploma, Advanced/Higher/Graduate Diploma, any field.
2. At least 3 year(s) of working experience in experience in document management, archive management, or records management.
3. Preferably Junior Executives specializing in Engineering- Marine/Construction or equivalent.
4. Knowledge of document management systems like Sharepoint, etc.
5. An excellent grasp of Microsoft Office programs.
6. Detail-focused document organizing abilities.
7. Familiar with the relevant regulations regarding document keeping and handling.
8. Able to proactively manage database changes using software management systems.
