- 12 months agency contract
Key Responsibilities:
- Collaborate with internal stakeholders to gather information and updates for tenders and quotations.
- Coordinate with the Procurement Category Manager and Contract Manager regarding tender and contract requests.
- Renew maintenance term contracts for the Department before contract expiration or fund depletion, overseeing the entire process from approval to bid sourcing, tender document preparation, evaluation, and award, in accordance with procurement procedures.
- Draft letters of award and compile contract documentation upon approval.
- Organize and manage contract commencement meetings with vendors.
- Conduct final account assessments for contract closure with vendors before contract expiration.
- Oversee the knowledge and record management of maintenance term contract documents.
- Collect and distribute assessments of term contractors.
- Analyze results from term contractor assessments.
- Work closely with Facilities Managers and Managing Agents on vendor management and post-contract issues.
- Coordinate with internal stakeholders on vendor management, including managing regular meetings with term contractors.
- Assist with audits and reporting related to contract and vendor management.
- Perform administrative tasks and duties as assigned.
- Support the Manager, Cost and Vendor, and other team members as needed.
Requirements:
- Bachelor’s degree in Quantity Surveying or Facilities Management.
- At least 3 years of experience in contract management or procurement within the building facilities sector.
- Strong understanding of procurement processes, financial terms, and budgeting.
- Team player with a willingness to learn.
- Ability to work effectively under tight deadlines.
- Excellent verbal and written communication skills.
- Detail-oriented, organized, and systematic in managing work processes.
- Proficient in Microsoft Office applications.
- Experience in creating presentations, organizational communications, and business cases.
- Familiarity with e-sourcing tools such as Ariba, Acubuy, and SAP is a plus.
