Key Responsibilities:
1. Administrative Support:
- GeneralAdministration: Assist CCA (Co-Curricular Activities) teachers with registrations, coordination, bookings, and data entry related to competitions and school events.
- Vendor and Event Management: Liaise with vendors, manage PRFs (Purchase Requisition Forms), and handle logistics for major events like camps and sabbaticals.
- Student Management: Follow up with students on registrations for various programs and assist in managing external CCA programs.
2. JCAS/CAS Administrative Support:
- Assist with PRF management, event coordination, and logistics for JCAS (Junior Co-Curricular Activities), CAS (Creativity, Activity, Service), and related events.
- Help with purchasing, maintenance, and event organization for initiatives like HCIS Gives Back and Global Diversity Day.
3. Student Leadership and House Support:
- Assist councils with PRF, event logistics, and booking arrangements.
- Support House masters with event management, including Innofest, and handle inventory checks.

- Attention to Detail: Ensures accuracy in data entry, bookings, and financial documentation.
- Communication Skills: Effective in liaising with teachers, students, parents, and vendors to ensure smooth operations.
- Problem-Solving Abilities: Able to address issues promptly, especially in emergency or last-minute situations.
- Adaptability: Flexible and capable of covering for teachers and adjusting to varying responsibilities as needed.
- Bookkeeping Skills: Proficient in managing and processing financial forms, while maintaining accurate records.
- Multitasking: Capable of handling various tasks simultaneously in a fast-paced environment.
- Previous Experience: Experience in school administration work will be an advantage, contributing to a deeper understanding of operational needs.
- Strong Administrative Skills: Skilled in administrative work, ensuring all tasks are completed efficiently and effectively.
Minimum Qualifications and Experience:
- Minimum of a Diploma in Administration, Business, Education, or a related field.
- Proficiency in Microsoft Excel, Google Forms, and Google Sheets for administrative tasks.
- Ability to manage data entry, bookings, and event coordination using digital tools.
- Minimum of 3 years’ experience working in school administration, handling general administrative duties such as supporting CCA (Co-Curricular Activities) teachers with registrations, competition coordination, vendor management, and logistics for school events.
- Experience with managing student records and liaising with students and parents for registrations in various programs.
