Responsibilities:
- Providing secretarial and admin support to the Directors and team
- Arrange and coordinate travel arrangements (air ticket, accommodation, visa etc)
- Assist with Directors’ travel expenditure & leave administration
- Arrange and coordinate internal / external appointments and meetings, which includes booking of venues
- Meet and greet guests / visitors, serve drinks and ensure they are attended to once they arrive at the office
- Handling and distributing all incoming & outgoing correspondences
- Assist in liaising and coordinating all activities and work with the overseas offices
- Assist in the preparation of documents & correspondence, such as letters, reports, tender, specifications, submission proposals faxes, emails, etc.
- Maintain office and pantry supplies, stationery, purchase of products and equipment, office maintenance
- Organizing team bonding parties / activities
- Manage and ensure all matters are redirected to the relevant parties with discretion and attended to meticulously during the Directors' absence
- Work closely and coordinate with corporate services and other engineering departments
Requirements:
- Diploma in Business Administration or related field
- Possess 3 years of secretarial/administrative support experience
- Ability to work independently with minimal supervision
- Excellent communication and interpersonal skills
- Having a sense of urgency, ability to multitask, and a good team player who is able to work well with multiple stakeholders and build rapport in a fast-paced environment
- Pleasant disposition with high level of integrity and discretion
- Highly organized, meticulous with a great attention to detail
- Proficient in MS Office suite
