Job Summary:
It is seeking a meticulous and proactive HR Admin Assistant to join its team. This role is crucial in providing administrative support throughout the entire 360-degree recruitment cycle for migrant workers. The ideal candidate will manage the process from the In-Principle Approval (IPA) application through to the issuance of work passes, including handling various mandatory requirements and appointments.
Job Role & Responsibilities:
1) In-Principle Approval (IPA) Application:
- Prepare and submit IPA applications for migrant workers, ensuring all documentation is accurate and submitted on time.
2) Security Bond Arrangement:
- Coordinate and manage the arrangement of security bonds required for migrant workers, ensuring compliance with regulations.
3) Mandatory Courses:
- Schedule and organize mandatory courses such as Advanced Workplace Safety and Health (AWH), Advanced Workplace Safety and Health (AWH-PP), and other relevant courses.
- Ensure migrant workers complete these courses as required before their work passes are issued.
4) Medical Examinations:
- Facilitate the scheduling and completion of medical examinations for migrant workers, ensuring all health requirements are met.
5) Fingerprint Appointments:
- Arrange and manage fingerprint appointments at the Ministry of Manpower (MOM) Work Pass Division.
6) Work Pass Issuance:
- Oversee and track the process from application to the issuance of work passes, ensuring all steps and documentation are accurately completed.
7) Record Keeping:
- Maintain precise and up-to-date records of all recruitment activities, ensuring compliance with regulatory requirements and internal processes.
8) Communication:
- Act as a liaison between migrant workers, the company, and relevant governmental departments to ensure effective communication and process coordination.
9) Administrative Support:
- Provide general administrative support to the HR team, including data entry, file management, and other clerical tasks as needed.
Job Requirements:
· Diploma in Human Resources, Business Administration, or a related field preferred.
· At least 1 to 2 years of administrative experience in a recruitment or HR environment, with a focus on work pass management preferred. Fresh graduate is also welcome.
· Strong organizational and multitasking abilities.
· Attention to detail and accuracy.
· Excellent communication and interpersonal skills.
· Familiarity with MOM work pass procedures and requirements is advantageous.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
· Proficiency in English is required.
