Purpose of Job:
· Maintain office needs by providing administration support
· Provide fundraising administration support through proper records-keeping
· Assist with petty cash reimbursement
Key responsibility areas
Administration Support
· Attend to incoming calls, emails, postal mails, walk-in, visitors and general enquiries
· Liaise with vendors to support purchase requisition of office supplies
· Responsible to source, negotiate and manage purchases for the Society
· Evaluate vendor’s quotation to ensure that they are in line with specifications required
· In charge of daily operational purchasing needs such as planning, issuing and following up on Purchase Orders delivery
· Provide other ad-hoc administrative support as assigned
Donor and Fundraising Administration Support
· Maintain records of sent and bounced donor mails and inform fundraising team for follow-up
· Verify that donation forms have been adequately completed
· Issue donation receipt for walk-in donors and donors who donate through mail
Finance Support
· Process petty cash reimbursement
Experience:
Minimum 2 years of administrative experience, preferably in a Social Service Organisation
Qualifications:
Diploma in Accounting related
Other Requirements:
· Basic proficiency in Microsoft Office Excel and Word
· Basic bookkeeping knowledge would be advantageous
