Import Shipping Manager // FMCG // Transport Provided - TRAN

Job Responsibilities:

Coordination & Planning

  • Develop and implement strategies and procedures for imports.
  • Coordinate with suppliers and third-party logistics to ensure seamless import operations.
  • Ensure third-party logistics clear and unload import containers promptly.
  • Verify timely delivery of unstuffing reports from third-party logistics.
  • Monitor and follow up on shipping schedules with suppliers for accurate and timely deliveries; update schedules in Navision.
  • Provide weekly updates on import schedules to management and the R&D team.
  • Notify management and R&D of any changes in vessel schedules or new shipping information.
  • Ensure suppliers provide shipping documents on time for customs clearance.


Transfer of Raw Materials & Finished Products

  • Lead and manage all operational activities related to the transfer of raw materials and finished products between the warehouse and production plant.
  • Ensure claims for damaged bags during transfers are submitted to the insurance company or 3PL.
  • Monitor and ensure timely transfer of sample bags to 5PW for sampling after unloading.
  • Update Navision with transfer activity details promptly.
  • Plan monthly import shipment activities and warehouse storage allocation to drive cost savings and optimize warehouse usage, ensuring full utilization before engaging 5PW.
  • Prepare inventory aging reports and follow up on aged, torn, and sample stocks.
  • Create monthly inventory forecast reports.


Regulatory Compliance

  • Ensure all import activities adhere to applicable laws, regulations, company SOPs, and ISO standards.
  • Stay informed about updates to relevant laws and regulations.


Logistics Management

  • Oversee the transportation of goods from origin to destination.
  • Monitor and track shipments to ensure timely and accurate deliveries.

Documentation and Record-Keeping

  • Maintain accurate records of all import transactions and documentation.
  • Prepare necessary documentation for customs and regulatory agencies.
  • Address and resolve discrepancies or issues related to shipment documentation.


Cost Management

  • Develop and manage the budget for import shipping activities.
  • Analyze shipping costs to identify opportunities for reductions and efficiency improvements.
  • Monitor and report on shipping expenses and performance.
  • Verify invoices from 3PL related to import shipments, storage, and transfer activities.


Problem Resolution

  • Address and resolve shipment-related issues such as delays, damages, or discrepancies.
  • Ensure timely feedback from 3PL regarding quality or shipment issues to suppliers.
  • Submit claims and feedback regarding quality or shipment issues to suppliers.
  • Act as a liaison among parties involved in the import process to resolve conflicts.


Team Management

  • Supervise and guide the import shipping team.
  • Train team members on best practices, regulations, and procedures.
  • Conduct performance evaluations and manage team development.


Technology and Systems Management

  • Utilize import management software to track shipments and manage documentation.
  • Stay updated on technological advancements and implement new tools to enhance efficiency.


Risk Management

  • Identify and assess potential risks related to the import process.
  • Develop and implement strategies to mitigate risks and minimize disruptions.


Requirements:

  • Bachelor’s Degree or Diploma in Purchasing/Supply Chain / Logistics or equivalent related qualification
  • Minimum 7 years of relevant managerial experience in manufacturing or relevant industry
  • Proficient in Microsoft office applications and other relevant software (e.g. Navision)
  • Strong written and verbal communication skills
  • Able to multi-task in a fast-paced environment
  • A dynamic team leader with a positive working attitude. Able to organize and lead a small team to attain business excellence
