Job Scope:
Sale Admin Executive (Up to $3k Basic)
- Handle customer orders and ensure smooth processing.
- Assist customers with inquiries and support needs.
- Maintain communication within the sales team.
- Manage sales records and documentation.
- Coordinate appointments and deliveries for the sales team.
- Prepare sales reports as required.
- Ensure timely product delivery and gather customer feedback.
- Assist in implementing sales and marketing plans.
- Perform general administrative tasks.
- Responsible for follow up on the invoice payment from customer
- Address order and customer issues.
- Work with other departments for smooth operations.
- Be flexible to handle various tasks as needed.
Assistant, Admin Manager (Up to $3800)
- Oversee daily administrative tasks to ensure smooth office operations.
- Implement and manage e-filing and record-keeping systems.
- Review and approve purchase requisitions and advance payments.
- Verify invoices and manage GST documentation.
- Review monthly accounts payable (AP) and accounts receivable (AR) aging reports, and follow up on payment status with the sales team.
- Verify staff claims and reimbursements.
- Manage petty cash transactions.
- Create business partner data and occasionally item codes in the accounting system.
- Manage contracts and services, including renewals and terminations.
- Track staff hours for audit cost estimation.
- Develop and maintain office processes and procedures.
- Promote safety awareness and ensure compliance with safety regulations and risk assessments (RAs).
- Maintain ISO accreditation by reviewing and updating processes.
- Manage fixed asset records.
- Act as a liaison between third-party providers, management, and employees for company-related matters.
- Plan office layouts and oversee office/warehouse relocations.
- Supervise, mentor, and coach staff members.
- Conduct periodic inventory counts, reconciliation, and adjustments.
- Record inventory movements and prepare monthly inventory reports.
- Conduct staff appraisals and manage performance reviews.
Job Requirement:
- Minimum ‘O’ Level
- Preferably to have related administrative experience as listed in the job scope
