Work Dynamics - Integrated Facilities Management
Principal Accountabilities
- Overall responsibility of Integrated Facilities Service delivery
- Manage all soft & hard services and facilities management services, including events support and food & beverage services as MA
Food Program Daily Operation
- Develop & execute Singapore food program and align with client food philosophy, business needs and growth aspirations
- Responsible for Singapore food program daily operation, including catering meals, snacks & drinks, fruits, events, surprises and delights, etc.
- Expand offering to match company values and employee preference
- Ensure a high standard for variety, nutrition, creativity and presentation
- Catering meals: collect numbers of new hires & visitors and ensure enough number of catering meals and avoid unnecessary waste; Monitor the quantity and quality of each meals and collect feedback from employees
- Snacks, drinks and fruits: coordinate on presenting, counting and ordering of required snacks & drinks
- Act as a primary contact of food events, surprises and delights, responsible for event coordination and execution; Assist to cultivate cohesive team environment that integrates client values and emphasizes fun and creativity
- Coordination of celebrate company milestones and the culture traditions
- Partner with internal business partners to systematize and execute high-level goals as well as day-to-day direction.
Duties & Responsibilities
- Responsible for facilities operation
- Monitor procedures to ensure client’s expectations are conveyed and worked upon
- Ensure compliance with all local statutory regulations
- Primary responsibility for OPEX budget, tracking and reporting planning and provide administrative support
- Manage vendor procurement processes in accordance with agreed client procurement guidelines as well as procurement best practices
- Foster relationships with vendors
- Comparing vendor pricing and value in all areas of purchasing
- Manage and monitor vendor’s daily services and keep improving service level to align with clientfood philosophy
- Assist in strengthening employee’s sense of “belonging” & “be a host” to keep Singapore office the best workplace
- Daily check on culinary use and maintenance
- Monitor the execution of regular maintenance
- Manage all contract vendors to carry out technical audits/ maintenance, monitor expiry of contracts and initiate re-procurement for all services
- Assess contracts to ensure best value delivered to the Client
- Implement and manage safety procedures to ensure the provision of a safe environment
Person Specification
- Diploma or Degree inFacilities Management/Build in Environment/Hotel Management/Hospitality/Building/Mechanical/Electrical Engineering or any other related discipline
- Minimum 3 years practical experience in facilities management, vendor management and client reporting
- Good problem-solving and coordination skills
- Good budget management and financial analysis skills
- Possess operation ability to think laterally and deliver innovative solutions
- Strong leadership, people and communication skills
- Good command in spoken and written English
- Good MS Outlook, MS Excel, MS Word, PowerPoint & others
