We are seeking a highly organized and detail-oriented HR Assistant to join our HR team. The ideal candidate will assist with a variety of HR related tasks to support the HR department's daily operations. This role involves preparing and managing employment documentation, assisting with recruitment, manage work passes and maintaining employee records. The HR Assistant will also be responsible for ensuring new hires are seamlessly onboarded and current employees' needs are met efficiently.
Key Responsibilities:
Recruitment and Onboarding:
- Prepare and send job offers and employment contracts.
- Verify candidate references and employment history.
- Coordinate interview times between candidates and the hiring team.
- Create and post job advertisements on various platforms.
- Coordinate with IT for necessary equipment and access setup.
Work Pass Management:
- Handle applications for new work passes.
- Manage the renewal process for existing work passes.
Employee Records and Documentation:
- Prepare various employment-related documents and letters.
- Maintain and update the organizational chart.
- Manage entries and updates in the NS Portal.
Performance and Evaluation:
- Manage performance evaluations and appraisal processes.
Compliance and Surveys:
- Respond to Ministry of Manpower (MOM) requirements.
Onboarding and Exit Processes:
- Regular updates to the onboarding presentation.
- Handle applications for new work passes and manage renewals.
- Prepare and collect forms used during exit interviews.
Qualifications:
- Experience as an HR Assistant, HR Admin, or in a related HR role is a plus and highly valued.
- Strong understanding of HR processes and best practices.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Ability to handle sensitive and confidential information with discretion.
