Job Description:
1) Oversee the day-to-day decisions and running of operations in Church Office.
· Opening of safe and offering box weekly.
· Clear bulletin layout and text weekly.
· Create, maintain, update and troubleshoot account access for Emails, Photocopier, Access Pass, Church Membership System, VPN, Shared Drive and Laptops.
· Call for quotations for new works on church facilities maintenance and management.
· Process payment to vendors for services rendered monthly.
· Oversee the team of caretakers and ensure facilities are well maintained for use.
· Review the current Asset List and dispose of the damaged items.
· Create awareness of LHMC through online and physical presence eg Website, Facebook, banners, noticeboards around the neighbourhood.
2) Maintain IT Services within the Church.
· Conduct regular security checks for existing IT Services ie Email, Website, NAS, VPN, CMS, Wifi, CCTV, Door access, etc.
· Maintain and sustain all existing IT Services to ensure optimal working level.
· Ensure timely renewal for subscriptions ie Zoom, CCLi, Website, etc.
3) Ensure maintenance and security of church facilities, while generating revenue through rental.
· Update and maintain Room Booking List for church use and wedding bookings.
· Oversee, publicise - rental for Weddings and donation for Thanksgiving Stone, to generate revenue.
· Liaise with Wedding couples on the prerequisites on booking of sanctuary such as Floral arrangement, carpark, sound system, logistics coordination, etc.
· Manage the Wedding AV team; through training and equipping.
· Process Thanksgiving Stone Donations and engage vendors for installation.
4) Ensure proper administration and upkeeping of key contracts and develop good project management practices to prevent contract lapse.
· Utilise the central depository to store key contracts so that they are easily accessible.
· Develop a project management timeline to ensure contracts do not lapse and enough buffer time is allocated for renewal process.
· Call for quotations for recontract of church facilities maintenance and management.
5) Oversee submission of external reports.
· Ensure key reports are submitted timely and information is accurate.
6) Secretariat to working committees eg Property Committee, Security Committee
7) Support Pastors and represent church at TRAC-level activities.
8) Appointment as Data Protection Officer.
9) Appointment as Liaison Officer .
10) Establish LHMC as a key stakeholder in the neighbourhood through outreach programmes and developing partnerships.
· Establish LHMC as a key stakeholder in the neighbourhood through building and maintaining relationships with partners such as Tampines Changkat CC, St. Luke’s Eldercare, Care Corner, etc.
11) Any other work as assigned by Reporting Officer.
Requirements:
· A minimum qualification of Bachelor Degree is preferred.
· At least 2 years of working experience is preferred.
· Prior experience in a supervisory role is preferred.
· Proficient with Google Drive & Docs, Microsoft Office ie PowerPoint, Word, Excel, Outlook, etc.
· Fire Safety Manager Certification is an advantage.
· Basic IT experience with Membership Database, Google Suite, Wordpress, installtion of drivers, etc is an advantage.
· Ability to navigate Corppass, Charity Portal and other government portals is an advantage.
· Design software skills for publicity materials using Canva is an advantage.
· Able to work independently and a good team player.
· Good written and communication skills.
· Good organisational skills.
· Good interpersonal skills.
· This role requires work on Sundays.
· This role may require work after office hours as and when required.
