6 Months Procurement & Admin Executive (Subject to extension)
As a Procurement & Admin Executive, your role will encompass overseeing the procurement process, managing secretarial duties, and handling various administrative responsibilities to support the efficient operation of the company.
This involves performing all procurement activities from start to end, including:
- Ensuring purchase requests are within the approved budget, Purchase Approval is obtained, Purchase Orders are approved and issued to vendors, and Goods Received are obtained prior to payment processing;
- Work with the stakeholders to understand the requirements, and review specifications to ensure clarity, expectations and timeline for their purchases;
- Ensure all procurement activities comply with the policies, procedures and processes;
- Ensure proper record keeping of customers' and vendors' contracts for audit purposes; and
- Assist in Audit, Accounts Payable and Month-End / Year-End closing.
Secretarial and administrative support includes, but is not limited to:
- Responsible for preparing board committee meetings, including drafting meeting minutes, resolutions, and maintaining statutory records;
- Draft, collate and circulate meeting materials, agenda and minutes to the Board of directors; and
- Perform any other ad-hoc administrative duties as assigned.
Requirements
- Minimum 3 years of experience in a related field
- Diploma or higher qualification
- Familiarity with the TenderBoard procurement system is advantageous
- Proficiency in Microsoft Office Applications
- Detail-oriented, fast learner, and committed to meeting deadlines
- Good spoken and written English
