We are seeking a proactive and detail-oriented Sales Administrator to join our team. In this role, you will be the backbone of our sales operations, ensuring exceptional customer service, maintaining accurate documentation, and facilitating smooth communication between customers and our internal teams. Your contributions will be vital in driving sales success and enhancing customer satisfaction.
Key Responsibilities:
Customer Engagement:
- Serve as the primary point of contact for existing and potential customers, addressing inquiries, resolving issues, and delivering exceptional customer service through phone, email, and face-to-face interactions.
- Build and maintain strong relationships with clients, ensuring their needs are met and providing product knowledge and support.
Administrative Support:
- Prepare, maintain, and organize various administrative documents, including sales agreements, order confirmations, and compliance paperwork.
- Ensure all documentation is accurate, complete, and aligned with company policies and regulatory requirements.
Accounts Receivable Management:
- Monitor customer accounts to facilitate timely payments, sending payment reminders, and following up on overdue accounts.
- Collaborate with the finance department to streamline payment processes and resolve any discrepancies.
Reporting and Analysis:
- Compile and submit regular reports on sales performance, customer feedback, and operational activities to aid management in strategic decision-making.
- Utilize reporting tools to analyze data and identify trends that can inform sales strategies and improve efficiency.
Team Collaboration:
- Work closely with the sales team and other departments to ensure a cohesive approach to customer service and sales operations.
- Assist in coordinating sales meetings, training sessions, and other team events as needed.
Process Improvement:
- Identify opportunities for process enhancements and contribute to the development of streamlined workflows that improve efficiency and customer satisfaction.
- Stay updated on industry trends and best practices to continuously enhance the sales administration function.
Work Schedule:
- Standard 5-day work week, Monday through Friday, with regular office hours. Flexibility may be required based on organizational needs.
Qualifications:
- Proven experience in a sales administration or customer service role.
- Accountant, Bookkeeper or Customer Service experience preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite and CRM software.
- Ability to work collaboratively in a fast-paced environment.
