Position Summary:
The Administrative Executive is responsible for providing comprehensive administrative support to ensure the smooth operation of the office. This includes managing daily clerical tasks, coordinating meetings, handling correspondence, and assisting with documentation and office coordination.
Key Responsibilities:
- Administrative Support:Handle incoming and outgoing correspondence (emails, letters, packages).
Prepare reports, presentations, and data entry tasks as required.
Manage office supplies and coordinate with vendors for procurement.
- Meeting Coordination:Schedule and organize meetings, including booking meeting rooms, preparing agendas, and taking minutes.
Coordinate travel arrangements for staff and prepare related documentation.
- Documentation & Filing:Maintain and update filing systems (both physical and digital).
Ensure records and documents are stored securely and are easily accessible when needed.
- Office Management:Assist in managing office maintenance, ensuring the work environment is clean and functional.
Liaise with service providers and contractors as needed for office-related tasks.
- Customer Service:Serve as the primary point of contact for visitors and inquiries.
Provide assistance to employees and clients, ensuring efficient internal communication.
