Overview
The incumbent will work closely with the lead research administrator to support the research activities in the Department of Family Medicine (DFM).

Research Operations
- Provide support in financial operations, including procurement and grant management, aligning compliance with relevant institutional policies and effective coordination with relevant stakeholders
Maintain a current understanding of international, national, and institutional research rules and regulations including opportunities of research grants and collaborations
Coordinate the development and execution of agreements for research collaborations
Assist the department researchers in ethics compliance and supporting audit preparations
Support research investigators in the timely submission of necessary documents and reports e.g. ethics board, project annual reporting, etc.
Assist in tracking research performance indicators & grant utilisations
Generate summary reports to appraise research team members
Secretariat Support
- Arrange and coordinate regular meetings with the department’s researchers and various stakeholders
- Collate agendas from chairperson of meetings, record meeting minutes, and disseminate minutes of meetings after obtaining approval from chairperson
- Regularly review the research team’s shared document repository ensuring accessibility and quick retrieval by departmental staff; regularly appraise the repository to make recommendations for improvement or upgrading; gives at least bi-annually (twice a year) updates at department research meetings regarding the repository’s function and utilisation including feedback from Dept researchers
Outreach & Visibility
- Support the Dept HoD, research director and research manager in developing and implementing the department’s research outreach and communications strategy
- Liaise with relevant stakeholders to organise department’s research events, including research forums, talks, workshops, etc
- Assist in the preparation of promotional materials and logistics pertaining to the department’s research events, e.g. venue bookings, Continuing Medical Education (CME) accreditation application, etc
- Create content for dissemination on social media platform as part of the department’s communication strategy
Job Requirement
- Bachelors, preferably in Life Sciences, Health & Social Sciences
- Minimum 2 years of working experience in a research or academic organisation
- Familiarity in research administration processes, such as ethics board approvals, research agreements, and research grant management
- Resourceful and adept at managing complex problems
- Excellent organisational and project management skills, and attention to detail
- Strong communication skills in English, both written and spoken
- Excellent team member, able to work well in a team, and contributes constructively to work
- Proficient in Microsoft Office Applications (Word, Excel, Powerpoint)
