Senior/Community Relations Executive (Volunteer & Donor Management)

Responsibilities:

1) Volunteer Management:

  • Volunteer Recruitment: Develop and implement strategies to recruit volunteers for various programmes and events, ensuring a diverse and committed volunteer base that aligns with the organisation’s mission.
  • Onboarding & Training: Deliver comprehensive onboarding and training programmes for new volunteers, ensuring they are well-prepared and motivated to contribute effectively to the organisation.
  • Volunteer Coordination: Oversee the scheduling and placement of volunteers across various departments and events, ensuring optimal utilisation of their skills and availability.
  • Volunteer Engagement: Create and manage initiatives to maintain high levels of volunteer satisfaction and engagement, including regular communication, recognition programmes, and feedback mechanisms.
  • Volunteer Retention: Develop strategies to retain volunteers, including offering development opportunities, creating a sense of community, and recognising contributions.
  • Performance Monitoring: Track and assess volunteer performance and satisfaction, making adjustments to programmes and support as needed to ensure efforts are aligned to the organisation’s mission.

2) Donor Management:

  • Donor Recruitment: Identify and cultivate relationships with potential donors, including individuals, corporations, and foundations, to secure financial and in-kind support for the organisation.
  • Donor Engagement: Develop and implement strategies to engage with current and prospective donors, including regular updates on the organisation’s work, personalised communication, and events.
  • Donor Stewardship: Ensure that donors are properly acknowledged and thanked for their contributions, including the timely delivery of receipts, thank-you letters, and impact reports.
  • Donor Retention: Manage a donor retention strategy, focusing on building long-term relationships and encouraging ongoing support through personalised engagement and recognition.
  • Database Management: Maintain accurate records of donor information, contributions, and communication in the organisation’s donor management system. Ensure data is up-to-date and complies with data protection regulations.
  • Reporting & Analysis: Regularly report on donor engagement and fundraising outcomes to the Manager of Community Relations and/or the Executive Director, providing insights and recommendations for future strategies.
  • Fundraising Campaigns: Collaborate with the Community Relations team to plan and execute fundraising campaigns, ensuring effective outreach and engagement with both volunteers and donors.
  • Event Planning: Assist in the planning and execution of fundraising events, volunteer appreciation events, and donor recognition events. This includes coordinating logistics, managing invitations, and ensuring the successful delivery of events.

3) Project Involvement:

  • Cross-Functional Collaboration: Work closely with other departments on projects as directed by the Manager of Community Relations and/or the Executive Director. This may include coordinating with programme staff, communications, and marketing teams to align volunteer and donor initiatives with broader organisational goals.
  • Innovation and Improvement: Continuously assess and improve volunteer and donor management practices, implementing new tools, technologies, and methodologies to enhance efficiency and effectiveness.

Requirements:

  • Bachelor’s Degree/Diploma in Events Management, Business Admin, HR, Non-Profit Management or a related field.
  • Strong command of written and spoken English as required to cultivate relationships with potential donors, including individuals, corporations, and foundations
  • Strong interpersonal and communication skills, with the ability to build and maintain relationships with a diverse range of stakeholders.
  • Excellent organisational and project management skills, with the ability to multitask and prioritise in a dynamic environment.
  • Excellent attention to detail, with the ability to structure and manage work effectively.
  • Self-motivated with a proactive and positive attitude.
  • Experience in event management, volunteer management, donor relations, or fundraising is highly desirable.
  • Experience in the social service sector is a bonus.

Other Information

  • Location: Walking distance from Bukit Batok MRT
  • Monday to Friday (Office Hours), required to work on Saturdays (with time-off) occasionally.
