Working Hours:
- Mondays to Fridays: 7:30am to 2:30pm
- Service not required on Saturdays, Sundays, gazetted public holidays, school holidays, and school closures.
Position Overview:
Hong Wen School is seeking a competent Administrative Support Officer to assist with administrative duties and ensure smooth day-to-day operations of the school. The ideal candidate will serve as the first point of contact for parents, students, and visitors, providing excellent customer service and administrative support. The successful candidate must be organized, efficient, and capable of working in a fast-paced environment with primary school students.
Key Responsibilities:
- Front Desk & Communication:
- Act as the first point of contact for parents, students, and visitors.
- Provide information and guidance on school operations, admissions, and events.
- Respond to phone calls, emails, and walk-in inquiries efficiently and professionally.
- Handle complaints, feedback, and requests, directing them to the relevant departments or resolving them promptly.
- Administrative Support:
- Assist with general clerical duties, including the preparation and distribution of school correspondence such as letters, newsletters, and publications.
- Provide administrative support to teachers, including helping with the preparation of teaching and learning materials.
- Input and manage data in the school’s administrative systems (e.g., attendance, student records).
- Help manage the reception desk, welcoming visitors and directing them to the appropriate departments.
- Support for School Operations:
- Assist with resource distribution to teachers and staff.
- Provide basic care and supervision for students at the school’s sickbay.
- Offer support for school events and activities as needed, including logistics and coordination.
- Undertake other administrative and operational tasks assigned by the Administration Manager.
Qualifications and Experience:
- Education: Minimum of a GCE ‘O’ Level or equivalent.
- Experience:At least 1-2 years of experience working in a primary school general office or similar administrative environment.
Experience handling general office tasks and working with young students is preferred.
- Skills:
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Familiarity with general school administrative systems is an advantage.
- Strong communication skills, both written and verbal.
Conversant in both English and Mandarin to interact with diverse stakeholders.
