The main duties and responsibilities of the PROCUREMENT/LOGISTIC EXECUTIVE entails the following:
A. Procurement
Responsibilities
• Purchasing of products and ensures entire process of procurement is carried appropriately and systematically.
• Maintaining contracts with vendors; reviewing inventory; initiating and keeping track of orders; receiving, inspecting and distributing orders; filling out damage claims and return orders; keeping daily records; issuing of purchase requisitions/order and working with accounts payable to pay vendors.
• Preparing documents to put out tenders for vendors/contractors for goods/products/equipment that cost huge amount.
• Ensure that goods/products, quotations and invoices received and issued are tally.
• Facilitate orders requisited by staff must be approved by HOD/ED first before purchasing the items.
B. Logistic
Responsibilities
• Facilitate logistics of the storehouse, transportation of goods to storehouse
• Coordinate, communicate procurement with suppliers, vendors, and retailers
• Supervise and organize orders of products and equipment
• Monitor availability of goods/products – quantity balance with baseline amount and to replenish when quantity reaches the minimum.
• Track final product shipments, costs, and timelines according to requirements
• Keep detailed, organized records of orders and stock
• Prepare accurate reports according to the expectations of upper management
• Help receive goods/products and transport to storehouse and to ensure storage is carried out systematically.
• Ensure high quality of goods purchased and received
• Supplier Assessment and Evaluation completed accurately and on time.
• Item master records are completed and maintained to the appropriate levels.
• Inventory counts and amendments are processed accurately and efficiently.
• Any other work as and when assigned by the Executive Director
Requirement
· Technically-minded.
· An eye for detail and the ability to maintain a very high level of accuracy.
· Strong interpersonal and communication skills.
· Proficient in both verbal and written English.
· Good organisational skills to prioritising tasks and meet deadlines.
· A team player who meets and exceeds team goals.
· Self-motivated, positive and willing to learn and adapt to changes
· Ability to maintain strict confidentiality and uphold the integrity of the company.
Qualification
· Minimum Diploma holder or equivalent
· At least 3 years working experience in related field is required
· Proficient in MS Office
· Physically fit, as carrying heavy goods is needed
Salary range: $3,500 - $4,500 per month
