We are seeking a highly organized and detail-oriented Accounting Administrator with experience using QuickBooks. The candidate will be responsible for managing and overseeing the daily financial transactions, including accounts receivable (AR), accounts payable (AP), bank reconciliations, and general ledger maintenance. You will ensure accuracy, compliance, and efficiency in all financial operations while assisting with month-end and year-end closing processes.
Key Responsibilities:
- Accounts Payable (AP):Manage the full AP cycle, including processing vendor invoices, matching purchase orders, and ensuring timely payments.
- Review, verify, and reconcile invoices with relevant documentation.
- Manage vendor relationships and respond to inquiries regarding invoices and payments.
- Accounts Receivable (AR):Oversee AR processes, including generating and sending customer invoices, managing collections, and recording payments.
- Monitor aging reports and follow up on overdue accounts to ensure timely collection.
- Maintain customer account details, process refunds, and handle payment discrepancies.
- QuickBooks Management:Enter and reconcile transactions in QuickBooks for multiple accounts.
- Maintain accurate general ledger entries, ensuring all transactions are recorded in accordance with company policies.
- Perform monthly bank reconciliations and resolve discrepancies.
- Assist with the preparation of monthly financial reports, GST submission and statements.
- Financial Reporting:Prepare and analyze financial reports, including profit & loss statements, balance sheets, and cash flow reports.
- Assist with budgeting, forecasting, and variance analysis.
- Support month-end and year-end closing processes by reconciling accounts and preparing journal entries, and FY audit.
- Compliance & Audits:Ensure compliance with accounting standards, internal controls, and company policies.
- Assist with external audits by providing necessary documentation and financial reports.
- Process Improvement:Identify and recommend improvements to financial processes to increase efficiency and accuracy.
- Help implement best practices for managing AP/AR, cash flow, and financial reporting.
- Bachelor's degree/Diploma in Accounting, Finance, or a related field.
- Minimum of 3+ years of experience in accounting roles, including AR/AP management.
- Proficiency in QuickBooks is required.
- Strong knowledge of general accounting principles and practices.
- Excellent attention to detail and accuracy in financial record-keeping.
- Ability to manage multiple priorities, meet deadlines, and work independently.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook).
- Strong communication and interpersonal skills.
- Experience with month-end and year-end closing processes is a plus.
