Job Description
Operations:
- Monitor and manage daily operations to ensure efficiency and effectiveness
- Ensure compliance with A*STAR policies and procedures in all operational activities Manage audit review findings/lapses and support audit reviews, investigations and internal process improvements to resolve identified issues with relevant stakeholders
- Support operational process improvements to improve operational efficiency
Asset Management & Maintenance:
- Drive and promote asset life cycle management to encourage stakeholders to refresh their equipment as and when required
- Develop and implement preventive maintenance schedules for equipment and facilities
- Coordinate with maintenance teams to address repairs and ensure timely completion
- Keep detailed records of maintenance activities and update maintenance logs on PPMS
Procurement:
- Manage the Tender documentation and process; provide advice and consultation for interpretation of policies and procedures to end-users
- Drafting of tender documents and requirement specifications; facilitate the purchase of equipment and common lab supplies
- Maintain accurate records of procurement activities and inventory levels for efficient projection in central services utilized
- Manage purchase orders, track delivery timelines, and ensure timely receipt of goods and services
Stakeholder Liaison:
- Act as the main point of contact for internal and external stakeholders, addressing inquiries and issues promptly
- Collaborate with different departments to facilitate communication and problem-solving
- Escalate critical issues to appropriate personnel and follow up to ensure resolution
Data Presentation:
- Collect and analyse data to create comprehensive dashboards and reports
- Prepare visual presentations that highlight key metrics and performance indicators
- Collaborate with team members to identify trends and insights from the data
- Present findings to management and suggest improvements based on data analysis
Job Requirements
- Degree in Science, Technology or Engineering (preferably food, chemical or biology related)
- Minimum 1 to 2 years of relevant experience in managing laboratory operations, laboratory support role or procurement
- Familiar with regulatory and statutory requirements; knowledgeable in chemical handling, quality, environmental and safety management
- Good understanding of Government Procurement policies will be advantageous
- Proficiency in relevant software and tools such as Power BI and SAP will be beneficial
- Detail oriented, meticulous and systematic
- Able to work independently, multitask and perform in a dynamic environment and meeting specific timelines
- Strong interpersonal and communication skills to connect with people from different cultures and levels, both internally and externally
