Job Summary: We are seeking a detail-oriented and proactive Operations Executive to join our dynamic team. In this role, you will be instrumental in the planning, execution, and management of our exhibitions, ensuring that all operations run smoothly and efficiently. You will work closely with various departments to deliver the exhibition that exceed client expectations.
Key Responsibilities:
1. Customer Service
- Handle and addressing enquiries from exhibitors and providing timely replies and support.
- Collaborate with other departments to resolve issues and deliver good service to our exhibitors or attendees.
2. Vendor Management
- Identify and liaise with appointed key vendors for our exhibition requirements. To monitor their performance to ensure that the Company obtains quality service at a competitive price
- Support the development of all e-service systems to facilitate exhibitors’ participation and ensure procedures and monitoring systems are in place to produce online documentation to support exhibitors in their participation.
- Manage vendors on work schedules, progress and project requirements pre-show, onsite and post-show.
3. Administrative roles
- Support in vetting and approving stand plans submitted by exhibitors, in stand allocation, and liaising with relevant external parties, including respective government authorities/agencies, the technical service providers, logistic contractors and venue owners.
- Providing support for documentation, including the exhibition regulation and service forms.
- To prepare post event report based on vendor’s deliverables and performance
4. On-site operations
- Assume the role of Hall Manager during the exhibition period and ensure that all stands are built in accordance with our exhibition regulations. Any onsite regulations infringement is rectified timely, update and manage the onsite infringement report.
- Ensure that exhibitors move in and move out timely and generate reports.
5. Qualifications:
- Diploma in Engineering or Events Management
- At least 1 to 3 years of working experience in operational aspects of large-scale exhibitions
- Proficiency in Microsoft Office
- Business travel is required
- Ability to use Microsoft Visio for floorplan editing will be a big advantage
- Fluent in English, both spoken and written, if fluent in Mandarin will be an added advantage
