JOB SUMMARY
We are seeking an Executive Assistant cum Office Manager to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. You should have experience working in an office environment, performing administrative duties, and providing support to managers.
Location : City Hall
Working Hours : 5-day work week, Mondays to Fridays, from 9.00 am to 6.00 pm with the flexibility of WFH arrangements.
RESPONSIBILITIES:
· Manage professional and personal scheduling for Client Manager and upper management including agendas, mail, email, phone calls and client management.
· Coordinate scheduling and calendar management, as well as content and flow of information to the Client Manager and upper management.
· Manage travel logistics with our outsourced drivers with a focus on comfort and efficiency, ensuring seamless transitions between locations.
· Oversee personal finances, making payments, handling expense reports and maintaining financial records.
· Provide administrative and office support to the team.
· Research and source vendors, services and products on request
· Maintain professionalism and handle confidential information with utmost discretion.
· Must be prepared to work out of office hours when required.
QUALIFICATIONS/ EXPERIENCE:
· Bachelor’s degree or diploma in Business Administration, Communications or a related field is preferred.
· Minimum 3 – 5 years of relevant experience as a Personal Assistant or similar role, ideally supporting high-net worth individuals.
· Excellent written and verbal communication skills.
· Excellent organizational skills with the ability to prioritize and multitask effectively.
· Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and an aptitude for learning new software and systems and comfortable navigating various online platforms.
· Exceptional problem-solving skills and the ability to source solutions independently, often under time pressure.
