Job Description:
We are seeking a detail-oriented Live-Streaming & Events Administrative Assistant to provide essential administrative support for our live-streaming and events operations. This role involves managing contracts, handling invoicing, and providing general administrative assistance to ensure smooth and efficient event execution. The ideal candidate will need to be organized, proactive, and capable of juggling multiple administrative tasks in a fast-paced environment.
Key Responsibilities:
Agreement and Contract Management:
- Prepare, review, and manage contracts and agreements with clients, vendors, and partners for live streaming and events.
- Ensure all necessary documentation is signed, filed, and tracked for future reference.
- Assist in negotiating terms of agreements where necessary, ensuring compliance with company policies and legal standards.
Invoicing & Financial Administration:
- Generate and send invoices to clients and partners for live-streaming services and event coordination.
- Track payments and follow up on overdue invoices, ensuring timely collection.
- Assist in budgeting and financial reporting for live-streaming and event projects.
Event Administration Support:
- Provide administrative assistance to the events team, including managing event timelines.
- Maintain databases and spreadsheets for tracking client details, event schedules, and vendor information.
Document Management:
- Organize and maintain digital and physical files for all live-streaming and event-related documents.
- Ensure that important contracts, financial documents, and correspondence are accessible and stored securely.
Administrative Tasks:
- Provide general administrative support, including answering emails, managing calendars, and processing expense reports.
- Assist with preparing presentations, reports, and other documents as required by the live streaming and events team.
Qualifications:
- Diploma or Bachelor’s degree in business administration, event management, or a related field.
- Proficiency in Mandarin and English to accommodate our clients' needs.
- Proven experience in an administrative role, preferably within live streaming, events, or media industries.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools.
- Experience with invoicing and financial tracking software.
- Excellent communication skills, both written and verbal.
- Ability to work well under pressure and meet deadlines in a fast-paced environment.
- Familiarity with event planning and live-streaming services.
