Job Description: Administrative Assistant at an Islamic Learning Centre for Kids and Adults

Position Title: Administrative Assistant

Position Overview:The Administrative Assistant will play a key role in supporting the daily operations of our Islamic Learning Centre. This position involves a variety of administrative tasks that contribute to a positive learning environment and efficient school operations. The ideal candidate will have strong organizational skills, excellent communication abilities, and a commitment to the values of our institution.
Key Responsibilities:
- Administrative Support:Assist with daily administrative tasks, including managing phone calls, emails, and correspondence.
Maintain accurate records and files for students, staff, and school events.
Prepare and distribute newsletters, reports, and other communications.
- Student Services:Assist with student enrollment processes and maintain student records.
Address inquiries from parents and students in a courteous and timely manner.
Help coordinate school events, including parent-teacher meetings and community outreach activities.
- Financial Administration:Support bookkeeping tasks, including fees collection.
Assist in the preparation of financial reports and documentation.
- Facilities Management:Help coordinate the maintenance and organization of school facilities.
Assist in inventory management of school supplies and resources.
- Collaboration:Work closely with teachers and staff to support educational programs and initiatives.
Participate in staff meetings and professional development opportunities as needed.
- Islamic Values Integration:Promote and uphold the values of the Islamic faith within the school environment.
Assist in the planning and execution of religious observances and educational programs related to Islamic teachings.
Qualifications:
- Previous experience in an administrative role, preferably in an educational setting.
- ARS Certified individual are welcome.
- Strong organizational skills and attention to detail.
- Proficient in Microsoft Office Suite and familiar with school management software.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Commitment to the principles and values of the Islamic faith.
- Ability to communicate in English, Malay, Arabic would be a bonus
Working Conditions:
- Full-time - 6 Days / week (1 off day per week)
- Able to work on Saturdays and Sundays
- May involve occasional evening or weekend work for school events.
