Responsibilities
- Act as the primary point of contact between the Managing Director and internal/external clients.
- Screen and direct phone calls, distribute correspondence, and handle requests appropriately.
- Manage the MD’s diary, schedule meetings, and appointments.
- Ensure efficient time management and prioritize daily workload.
- Coordinate and prioritize incoming requests and meeting invitations.
- Remind the executive of upcoming commitments and deadlines.
- Handle sensitive and confidential information with utmost discretion.
- Make travel arrangements, including booking flights, accommodations, and transportation.
- Coordinate itineraries and ensure smooth travel experiences.
- Assist in producing reports, presentations, and briefs.
- Ensure high-quality documentation for internal and external communication.
- Take dictation during meetings and prepare accurate minutes.
- Summarize discussions, action items, and decisions.
- Source office supplies and maintain inventory.
- Devise and maintain an organized office filing system.
Requirements
- Minimum Diploma in Business Administration or equivalent
- Proven work experience as a Personal Assistant or in a similar role
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills in English.
