Responsibilities

  • Act as the primary point of contact between the Managing Director and internal/external clients.
  • Screen and direct phone calls, distribute correspondence, and handle requests appropriately.
  • Manage the MD’s diary, schedule meetings, and appointments.
  • Ensure efficient time management and prioritize daily workload.
  • Coordinate and prioritize incoming requests and meeting invitations.
  • Remind the executive of upcoming commitments and deadlines.
  • Handle sensitive and confidential information with utmost discretion.
  • Make travel arrangements, including booking flights, accommodations, and transportation.
  • Coordinate itineraries and ensure smooth travel experiences.
  • Assist in producing reports, presentations, and briefs.
  • Ensure high-quality documentation for internal and external communication.
  • Take dictation during meetings and prepare accurate minutes.
  • Summarize discussions, action items, and decisions.
  • Source office supplies and maintain inventory.
  • Devise and maintain an organized office filing system.

Requirements

  • Minimum Diploma in Business Administration or equivalent
  • Proven work experience as a Personal Assistant or in a similar role
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills in English.
