Position Overview:
The Procurement Executive/Assistant is responsible for supporting the procurement process, including sourcing suppliers, negotiating contracts, and ensuring that goods and services are procured in a cost-efficient and timely manner. The role involves working closely with internal departments and suppliers to ensure operational needs are met while maintaining compliance with company policies and regulations.
Responsibilities:
- Vendor Sourcing: Research, identify, and evaluate potential suppliers based on price, quality, and reliability. Assist in supplier onboarding and maintaining approved vendor lists.
- Purchase Orders: Create, track, and manage purchase orders (POs), ensuring they align with company policies and are accurately processed.
- Negotiations: Assist in negotiating prices, terms, and conditions with suppliers to obtain the best value for the company.
- Inventory Management: Support inventory control by ensuring the timely ordering of materials and monitoring stock levels to prevent shortages or excesses.
- Cost Control: Assist in identifying cost-saving opportunities while maintaining quality and supply reliability.
- Documentation: Maintain proper documentation, including supplier contracts, order records, and delivery schedules, ensuring all transactions are accurately recorded for audit purposes.
- Supplier Relationship Management: Build and maintain positive relationships with suppliers and vendors, ensuring timely deliveries and resolution of any issues.
- Compliance: Ensure procurement activities comply with company policies and local/international regulations.
- Market Research: Stay updated on market trends, prices, and new products to support procurement decisions.
- Collaboration: Work closely with the operations, finance, and logistics teams to align procurement with business needs.
Requirements:
- ** Applicable to Singaporeans only due to quota limitations
- Diploma or Degree in Supply Chain Management, Procurement, Business Administration, or a related field.
- For Procurement Executive: 2-3 years of experience in procurement or a related role.
- For Procurement Assistant: 1-2 years of relevant experience or entry-level candidates with a strong interest in procurement.
- Familiarity with procurement systems (SAP, Oracle, or other procurement software).
- Strong analytical, negotiation, and communication skills.
- Attention to detail and ability to manage multiple tasks simultaneously.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Knowledge of local and international procurement regulations is a plus.
- Bilingual in English and Mandarin (preferred) for liaising with suppliers.
