Key Responsibilities:
- Front Desk & Communications:Professionally answer incoming calls and greet visitors.
Handle official communications, including memos, emails, invoices, and reports. - Scheduling & Coordination:Manage appointments and calendars for internal and external meetings.
Organize staff meetings and events. - Documentation & Reporting:Draft and edit letters, reports, and instructional materials.
Collate and distribute mail. - File Management:Maintain electronic and physical filing systems for efficient document retrieval.
- Bookkeeping & Accounts:Assist in managing accounts, preparing invoices, and basic bookkeeping.
Requirements:
- Education: Diploma in Office Administration, Business, or a related field.
- Experience: Prior experience as an Administrative Assistant or Virtual Assistant is preferred.
- Languages: Bilingual proficiency in English and Chinese (written and spoken) is required due to need to communicate with bilingual associates.
- Technical Skills: Proficiency in MS Office, particularly Excel and PowerPoint.
- Other Skills: Strong organizational and communication skills, attention to detail, and problem-solving mindset.
Working Hours: Monday to Friday, 8:30 AM to 5:30 PM
